The Digital Scrapbook of Your Data: Power BI Archived Workspace

Microsoft Power BI’s workspace is a collaborative area where users can create and share dashboards, reports, and other data visualizations. A workspace can be either “active” or “archived.”

An active workspace is a workspace that is currently being used and can be accessed by members of the workspace. An archived workspace is a workspace that has been removed from the active list of workspaces and is no longer accessible to members. Archiving a workspace is a way to preserve it for historical purposes, but it is not meant to be used as a regular workspace.

To archive a workspace in Power BI, you’ll need to be a workspace administrator or have permission to manage workspaces. To do this, go to the “Workspaces” page in the Power BI service, select the workspace you want to archive, and click the “Archive” button. You’ll be prompted to confirm which you want to archive the workspace. Once you do, the workspace will no longer be accessible to members and will be moved to the “Archived” section of the “Workspaces” page.

You can unarchive a workspace at any time by following the same steps and selecting the “Unarchive” button instead. However, please note that unarchiving a workspace does not restore any data that may have been deleted from the workspace while it was archived.

The Power BI Archived Workspace is a useful tool for organizations to store and manage their data and reports. It allows for flexible rights control which allows for the management of data and reports in one place.

Additionally, the workspace also provides the ability to migrate deprecated reports to a separate workspace, making it easy to move content between the workspace and My Workspace. This provides organizations with the advantage of having their data and reports all in one place, while also having the IT department in control of the My Workspace.
